The Student Unions instructions for organizations

BACKGROUND

At the end of 2019, a COVID-19 infectious disease outbreak caused by the coronavirus started in China. The disease outbreak has been classified as a pandemic by the WHO. 

The Government of Finland has given recommendations on the 12th of March to prevent the spread of the epidemic. The Government recommends that public events for more than 500 people should be canceled and that the organization of all events should be considered until the end of May. 

 

On 16th of March 2020 The Finnish Government outlined new measures to be enacted in accordance with the Emergency Powers Act, the Communicable Diseases Act and other legislation. PREVENTION OF CORONAVIRUS

The Student Union of the University of Vaasa takes the prevention of the epidemic seriously and responsibly. The Student Union recommends that all organizations, associations, and clubs operating within its scope act in accordance with the recommendations of The Student Union. Only together can we prevent the spread of the coronavirus in our university community.

 

INSTRUCTIONS FOR EVENTS

The Student Union of the University of Vaasa follows the instructions given by the authorities in organizing our own events. 

The Student Union recommends to cancel or postpone all major events of more than 500 people that are scheduled to take place before May 31st. Event participants must be notified of the cancellation so that anyone who has considered participating in the event is aware of the cancellation.

The Student Union recommends to cancel or postpone medium-size events (between 100 and 500 people) for the time being.

When organizing small events for less than 100 people, the Student Union recommends to cancel or postpone the event for the time being.

All meetings related to the event must be held remotely.

 

WAPPU

The Student Union discusses the situation concerning Wappu with the organizations within the Student Union. Wappu events should not be planned during March.

The main event at Rewell Center on April 30, 2020 has unfortunately been canceled. The decision of arranging Wappu Crawl will be made by March 31, 2020.

 

INSTRUCTIONS FOR SPRING MEETINGS

All spring meetings, meetings and board meetings should be postponed, if the association's rules do not allow remote attendance.If you postpone the date of the meeting, please note that the decisions of the meeting are appealable.
 

RECEIVING MAIL

Unfortunately organizations cannot collect their mail from Domus Bothnica for the time being. To help out, the Student Union offers a scanning service for organizations to get their mail.

If you would like to receive your organization’s mail scanned, please contact  hpj@vyy.fi. In the message, include the following information: which organization are you from, who the mail should be sent and to what address the mail should be sent to.

 

INSTRUCTIONS FOR RENTING LEIPÄTEHDAS AND DOMUS BOTHNICA 

Cancellations made due to the coronavirus epidemic at Leipätehdas or the facilities of VYY Holding Oy (Wärtsilä hall or ABB sauna) are not subject to the cancellation policy, and cancellation can be done on shorter notice. You will not receive any fees mentioned in the Rules of Use. This policy is valid for bookings from 16 March to 30 April 2020.

The Student Union will not accept new bookings until March 31, 2020.

GUIDELINES FOR VISITS AND GUESTS

The Student Union of the University of Vaasa recommends that you refuse and cancel all visits for the time being. No organization should welcome guests from other locations, and organizations should not visit other cities.
